It was a special night at The May Fair, London

We are still enthralled about Adam's Bar Mitzvah event we planned, produced and managed at the May Fair hotel in central London.

Let's take you through the journey of how we produced one of our favorite Bar Mitzvah events.

Planning

Our client reached out to us a year before their Bar Mitzvah celebration date to ask if we could help her with every step of planning her son's Bar Mitzvah.

We booked her in for a consultation with our creative event producer Kwame Knight and arranged a site visit at The May Fair hotel.

At Events by Knight we always advise a site visit to understand our client's vision and what will be required for their Bar Mitzvah event.

After collating the information, Kwame and the team set about creating a proposal based on the ideas and concepts that would be best suited for the event.

Concept

Our client wanted the room to feel like you were in a Manhattan high rise building over looking the city as guests dined. We immediately created a moodboard with ideas and concepts based on the theme. As the Crystal Room had been booked, which is in the basement of the venue, the challenge was to make it feel like we were in a high rise building.

Venue

Events by Knight have planned and produced numerous events & functions at the May Fair hotel. This particular Bar Mitzvah was taking place in the Crystal Room which happens to be the largest event space in the venue and booked on a dry-hire basis, with it's own entrance and exit making it ideal for your guests as they don't have to use the public entrance.

There was plenty of space to host the seated dinner with the stage and bar all in one room. When planning we wanted to ensure that all the guests would be comfortable and have a room to be able to dance in as well as dine.

Number of Guests

We had 170 guests with 50 of those being younger guests. We planned for Adam the Bar Mitzvah boy and all his friends to be on one long table and the adults to be seated at round tables with the stage set and dance floor in the centre position.

Event Design & Production

The stage was a single tier black stage with a black front and side fascia and it stood half a metre tall with step. To create the Manhatton skyline we brought in an LED wall for the stage back drop for moving video imagery and an LED DJ booth for graphics, photos and logos. The disco lighting comprised of moving heads, gobos, pin spots and LED wireless uplighting for the perimeter of the room, controlled by a lighting technician. A sound and PA system was installed for music and speeches, finished off with a black gloss dance floor. For the tables we had centrepieces provided for Adam's table and each adult table and ghost chivari chairs with pads.

Entertainment

The music was provided by The SuperSonics DJ Live Party band which is a fusion of DJ with musicians and singers to create an amazing musical experience. We had freestyle dancers who helped to encourage guests to dance (they needed no encouragement) a magic mirror which took unlimited print out photos, one for guests to keep and the other to leave in a guest book.

Catering

The dining was provided by the May Fair in house catering team who also supplied dining and bar services. As a functioning restaurant, their food was sublime and delivered exactly as was promised during our tasting prior to the event date. We had two bars, one in the reception area and the second in the Crystal Room. Having a bar next to the dance floor ensures that guests don't have to travel too far away to get a drink.

Event Planning & Management

The entire Bar Mitzvah was planned by creative events producer Kwame Knight and fully event managed by Anuli Knight and her team on the day of the event. This ensured a seamless and fun event which allowed our client not to stress and worry about the logistics of their event. Our team was the point of contact throughout the entire event.

Final Outlook

Planning a Bar Mitzvah event can be extremely stressful and worrying, our aim is to manage the stress and make sure you have a fun, joy and happiness for many years to come.
