Brief:

With exam season over we were asked to produce a summer graduation event to mark the end of the term year, the theme was tropical party. The location for this event was one of the most prestigious education institutions in the world, London School of Economics.

What we did:

Initially we wanted to hold this event outside but as the weather wasn’t on our side that day, we had to move the set up to inside.

The location had a difficult road that was full of building works near the loading bay. As we only had one loading bay it was hard work trying to move the vans around and get everything inside.

We had a lot of last-minute logistics to sort out and change to make it work with a very tight deadline but with our skilled and experienced team at Events by Knight under the direction of creative event producer Kwame Knight we knew we would make it work!

Inside, our team were straight on it. As well as loading everything in we also had to work out where exactly to put it all to make the event still look good even though we had the last-minute change of plan due to the weather not allowing us to have it outside like we wanted.

We wanted an excited reaction as soon as our guests walked in, so our team worked together to make sure nothing looked out of place or too crowded in the room.

For this effect we made sure to dress the area that the guests would see straight away. To create a tropical inspired environment in the room we added a tiki bar, barrel posers, surfboards, deck chairs, palm trees on the stage and around the room and wooden seating cubes with cushions and low tables.

We also had a red bull bar stocked with lots of drinks for our guests to enjoy. For lighting we chose green and yellow lighting with orange washers worked nicely with our theme.

For the entertainment we had two bands. We provided a live pop band to perform commercial music and also a steel band to bring the Caribbean sounds.

These played all night for our guests. We also had a barbeque outside under an umbrella serving authentic Brazilian food. On the menu there were options such as prime rump steak, slow roast pork and grilled chicken.

Although we didn’t know what the event would look like due to the quick change of plans, the outcome was perfect. Our team worked so hard to create the best event possible. The bar was stocked up, the food was great, and everyone was up dancing all night!
